Information about ordering publicly funded vaccines

Vaccine orders follow a bi-weekly distribution schedule.

Vaccines must be picked up:

During designated pick-up times: 9 a.m. to 4 p.m., Monday to Friday, excluding holidays.
- The following offices are closed between noon and 1 p.m.: Chapleau, Espanola, and Manitoulin Island.
According to the bi-weekly schedule for your region.

Contact vaccineorder@phsd.ca if your order is urgent or you require alternate arrangements.

Cold chain equipment

When picking up your vaccine order, you must bring all equipment required to maintain cold chain during transportation for your full vaccine order.

Refer to the Vaccine Storage and Handling Guidelines (PDF) for a list of required equipment and instructions for packing an insulated container.
Orders will not be released unless all required vaccine transport equipment is properly prepared and ready to maintain vaccine temperatures between 2.0°C and 8.0°C.

Please note

Orders may be adjusted based on availability. Once your order is processed, you will be notified of any changes.
Orders are filled with the shortest expiry dates first.
Do not store more than a one month supply of publicly funded vaccine.

Vaccine storage and handling attestation

You must confirm that:

The fridge(s) storing publicly funded vaccines meet Ministry of Health Vaccine Storage and Handling Guidelines (PDF).
The fridge(s) storing publicly funded vaccines maintain cold chain temperatures (between 2.0°C and 8.0°C).
The temperatures of the fridge(s) storing publicly funded vaccines have been checked and recorded twice daily (maximum, minimum, and current temperatures) and are documented to one decimal place (for example, 5.1°C).
Documentation is complete, including date, time, initials, and name of premises, and days off are clearly marked as “closed”.
The current, minimum, and maximum temperatures are documented in the correct places.
The temperature monitoring device is cleared each time that temperatures are documented.
You understand that you may be required to provide accurate temperature logs upon request, and that temperature logs must be kept on-site for a minimum of one year, until your next annual cold chain inspection.

Temperature logs must include 30 days of documented temperatures leading up to the order date.

High-risk Vaccines

Orders are filled on an as-needed basis. Date of birth and eligibility are required for all high-risk orders. Only one dose in the series is released at a time. Separate orders are required for subsequent doses in series. If any information is missing, your order may experience processing delays.
